1. Who we are

SnapEE is a software product operated by yciCanada Immigration Services Ltd. (“YCI” or “YCI Canada”), or by any later operator named on this page. In this policy, we and us mean that company or operator. SnapEE does not provide immigration advice or represent anyone, and it is not connected with IRCC or any government body. Our mailing address is PO Box 70041 RPO Creekside, Airdrie, AB T4B 0V9. Questions go to the Privacy Officer, SnapEE, at support@snapee.ca.

2. What SnapEE does

SnapEE reads the IRCC application pages you open, saves what it reads on your computer, and builds a report for your review. It can also walk through the sections of a file automatically, opening each section page in your tab to read it, and you can stop it at any time. Before first use, SnapEE shows a notice and asks you to click Agree. Until you do, it reads nothing, saves nothing and contacts no one.

3. What stays on your computer

What SnapEE captures from IRCC pages can include names, dates of birth, identification numbers, contact details, medical and financial details, and anything else shown there. It is saved only in your browser on your own computer, in encrypted form, and is never sent to SnapEE. Reports are built on your computer when you open them and are not stored by SnapEE. Only your own comments on a report are saved, in encrypted form. The encryption key sits in the same browser profile, so this protects against casual reading of stored files, not against malware running as you or someone using your whole browser profile. Your licence details, including your licence key, your settings and a copy of your firm logo are also saved on your computer, without that encryption. Removing the extension removes what SnapEE stored in your browser. It does not free that browser’s place on your licence, so use Release this computer in the extension, or ask us, to free it.

4. What the extension sends us

To check your licence, it sends your licence key, a random install id, a short browser label such as “Chrome on Mac” and a platform name to our licence service. It receives your licence details, firm details and logo, and any notice we post. Nothing is sent before you click Agree. It never sends anything captured from IRCC pages and sends no analytics or cookies.

When you choose Buy in the extension, your browser opens our licence service with your licence’s ID in the web address. The ID is made by our licence service. It is not your licence key and shows nothing about you. Our licence service sends you on to Stripe’s checkout page with the same ID attached, so that the payment reaches your licence. For a day after you choose Buy, the extension may check your licence more often, using the same licence check described above.

5. What we hold about licence holders

Your name, registration number, company, contact email, plan, status, dates, colour and firm settings, and notes we add. For each browser, the install id, label, platform and date. We do not store your licence key. We keep a one way hash of it and its last four characters, and we email the key to you when it is issued or reissued.

When you ask for a free trial on our trial page, we receive your name, email address, registration number and regulator, company, a short note if you have no registration number, and the time you agreed to our terms and privacy policy. A request that needs a person to look is kept with those details for up to 90 days.

Stripe’s customer and subscription identifiers for your payments are kept on your licence. For a payment we cannot match to a licence, we keep the payer’s name and email address, and the checkout’s reference, until we have dealt with it and in any case for no more than 60 days, and then they are deleted automatically. A finished payment record holds no payer name or email address.

Activity records note the time, who acted, what happened, and details that can include a name, registration number, old and new values of an edit, a suspension reason, and for emails the recipient address and the email provider’s message id. We keep keyed hashes of the email address and the registration number (with the regulator) used for a free trial, with a date, so the same email address or number cannot take a second free trial. This is pseudonymous, not anonymous. Our invoicing system also holds your billing contact details and invoice history.

6. Emails we send

We email you when a trial key or licence is issued, reissued, suspended, reinstated, or renewed or converted, and when we receive a payment that we need to look at before setting up your licence. These are service messages, not marketing.

7. Network addresses and logs

We have switched off the request logging that our hosting platform offers for our licence service. To deliver a request, our hosting provider still sees the caller’s network address and the approximate location it implies, and may keep its own technical records under its own terms. Our own database keeps a network address only as a salted, shortened hash, used to limit abuse. These records are marked to expire within minutes and are cleared regularly, and we do not keep raw addresses in our database. Our email provider keeps delivery records for the licence emails, including the recipient address, for a short period under its own terms.

This website sets no cookies and runs no analytics. The pages of our providers that you may reach from it, such as Stripe’s checkout page, work under their own terms and may use cookies of their own.

8. Why we use this information

To issue and manage licences, to show your name and registration number on your reports, to limit repeat trials and misuse, to take and match payments, to send licence emails, to give support, and to keep records the law requires.

9. Support and ThriveDesk

Messages to support@snapee.ca are handled in ThriveDesk. When we work a ticket, ThriveDesk’s servers send the sender’s email address to our licence service through a read only connection, and your licence details come back beside your message. Information in support messages is kept by ThriveDesk under its own terms and privacy policy. SnapEE does not need client information to help you, so please describe a problem rather than attaching reports or screenshots that show client details.

10. Service providers and where information may be held

We use Cloudflare for our website, licensing and administration systems, including Cloudflare Turnstile, a check on our trial request page that tells people from automated programs. We use ThriveDesk, Microsoft 365 and Moxie for communication, invoicing and support administration, and Stripe to process card payments. We asked Cloudflare to place our licence database in western North America, which is a preference and not a guarantee. Cloudflare’s global network, our support, communication, invoicing and payment providers, and the providers they rely on, including AI providers, may also process information in the United States and in other countries around the world, where courts and authorities may be able to access it. These providers handle information under their own terms and privacy policies, which we do not control and which may change. For written information about our practices on providers outside Canada, contact the Privacy Officer, SnapEE, at support@snapee.ca. We do not sell your information.

11. AI features

Some of the tools we use for support, email and invoicing include AI features, and we may use them to summarise, sort or draft messages and records. Their AI providers may be outside Canada, as described above. We review any AI drafted reply before it is sent. We do not use AI on information that licence holders capture from IRCC pages, which never reaches us, and we do not enter licence keys into AI tools.

12. Payments

Annual licences are bought by card on Stripe’s secure checkout page, which you reach from the extension. Stripe collects the card details and the billing details it needs, such as your postal code to work out tax, and keeps its own records under its own terms. We do not see or store full card numbers. For firms, we may issue an invoice and accept Interac e-Transfer, which goes into our corporation’s business account. We keep invoices, payment and accounting records at least six years from the end of the tax year they relate to, as tax law requires, including the sender’s name and email as shown on the transfer or invoice.

13. How long we keep things

Licence and browser records are deleted 2 years after the licence expires, and renewing resets that clock. Activity records are deleted 2 years after they were made. That includes records about a licence we have already deleted, since deleting a licence in the normal course does not remove its earlier activity records. Trial requests that needed a person to look are deleted after 90 days. Payer details for a payment we could not match to a licence are deleted after 60 days at most. Trial markers are deleted 2 years after the trial ends. Support messages are kept up to 5 years for support history and disputes. Our provider keeps database restore history for a limited time, currently up to 30 days, so deleted information can remain there that long. Daily usage totals contain no personal details and are kept up to 400 days. A firm’s logo is kept while the firm exists.

14. Your choices

Write to support@snapee.ca to see, correct or delete your information. We aim to respond within 30 days. We can give you a file of your licence, browsers and activity records. Erasing removes your licence, browsers and every activity record about your licence. It does not remove support messages, payment records, backups, or reports you have saved or printed, and for trials we keep the marker above. We keep one record that an erasure took place, without your name, number or licence id. You can also contact the Office of the Information and Privacy Commissioner of Alberta or the Office of the Privacy Commissioner of Canada.

15. Keeping information safe

We use reasonable safeguards, including hashing licence keys, limiting access to our admin desk, and rate limiting. No system is perfectly secure.

16. If another operator takes over SnapEE

If another operator takes over SnapEE or our business, the information described in this policy transfers with it and stays subject to this policy. By clicking Agree in the extension, you consent to this in advance. We will name the new operator on this page and tell licence holders.

17. Limited Use

We use information received through the extension only to provide and improve the licensing and support features described here. SnapEE’s use of that information adheres to the Chrome Web Store User Data Policy, including the Limited Use requirements. We do not sell it, use it for advertising or credit decisions, or transfer it except to provide these features, comply with law, protect security, or to a new operator that takes over SnapEE, which you consent to in advance when you click Agree. Our people do not read it except for security, legal reasons, with your consent such as for support, or in aggregated form for internal operations.

18. Changes

We will update this page and its date when this policy changes. If the extension starts collecting something new, we will tell you in the extension before it applies. Supporting another IRCC portal that handles the same kind of information in the same way is not a change.
